This privacy statement tells you what to expect when Reward Connected Ltd collects and/or uses your personal information. We are committed to keeping your information safe and secure. Reward Connected will mostly rely on legitimate interests, under the General Data Protection Regulation (GDPR), as the lawful basis for gathering and processing your personal information. We rely on consent as our lawful basis for our newsletter and we gather this when people sign up. Visitors to our website

When someone visits our website we use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. If we do want to collect personally identifiable information through our website, we will ask for it. We will make it clear when we collect personal information and will explain what we intend to do with it.

Use of cookies

A cookie is a small file which asks permission to be placed on your computer's hard drive. Once you agree, the file is added and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences.
 We use traffic log cookies to identify which pages are being used. This helps us analyse data about webpage traffic and improve our website to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

People who make and enquiry through our website

When people make an enquiry through our website we will aim to respond within 72 hours. Once we have dealt with your enquiry we will delete you from our system within 30 days, unless you have asked for us to keep your information.

How we use the pay data we gather

We gather pay data to provide market comparisons and recommendations to our clients. We will depersonalise all data as soon as possible and not keep it in a personalised form for any longer than 2 years in line with our retention, review and deletion policy.

How we use our pay club data

As part of our pay club we will hold your data to contact you with information from the club. We will retain your information for as long as you continue to be part of the pay club. If you decide to terminate your membership, we will depersonalise all data as soon as possible and not keep it in a personalised form for any longer than 2 years in line with our retention, review and deletion policy.

Special Category Data

RC will only ever process special category data in a very limited set of circumstances on behalf of and at the request of clients to deliver pay and reward consultancy services, such as equality pay audits or gender-based pay audits. This data requires extra protection and this is further outlined in internal policies. This data is used in accordance with GDPR under Article 9(2)(b) employment, social security and social protection law, to comply with employment law and/or best practice.

Market research

We may contact you for the purposes of market research. If we do, we will always ask for, and log, your consent to contribute to the market research, if it contains personally identifiable information. If the research is annonymised, we will still ask for your consent to contribute to it. We will depersonalise all data as soon as possible and not keep it in a personalised form for any longer than 2 years in line with our retention, review and deletion policy.

Companies and suppliers we work with

When we work with you we will securely retain your information on our database. If we cease working together we will retain your information on our database for 5 years after our last contract, in line with our retention, review and deletion policy.

Controlling your personal information

You may choose to restrict the collection or use of your personal information. Whenvever you are asked to fill in a form on the website, look out for the box that you can click to indicate that you do not want the information to be used by anybody for direct marketing purposes. If you have previously agreed to us using your personal information for direct marketing purposes, you may change your mind at any time by contacting us via email. We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law.

Sharing Your Information

Reward Connected uses a number of sub-contractors to carry out its business activities. All sub-contractors that undertake work for Reward Connected confirm that they have read and abide by all Reward Connected Data Protection policies and procedures. With the exception of sub-contractors that work for Reward Connected, we will not share your information with any other organisations.

Your data protection rights

Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
